Thank you for choosing Ikenna Fitness. We're committed to protecting your personal information and your right to privacy. This policy explains what we collect, how we use it, who we share it with, and the rights you have. If anything's unclear, email ikennafitness@gmail.com.

1. Who we are

Ikenna Fitness ("we", "us", "our") is an online personal coaching service operated by Ikenna in the United Kingdom. We're the data controller for the personal information described in this policy.

2. What we collect

We only collect what we need to coach you and run the website. That includes:

  • Identity & contact details — name, email, phone number.
  • Application answers — your goals, occupation, training history, what's holding you back, and anything else you choose to share.
  • Coaching data — check-in notes, progress photos and measurements you choose to send, and the training/nutrition history we build together.
  • Payment data — handled directly by Stripe. We never see or store your full card number; we only receive a transaction reference and the last four digits.
  • Technical data — basic server logs (IP address, browser, pages visited) used to keep the site secure and working.

3. How we use your data

  • To review your application and decide on coaching fit.
  • To deliver the coaching programme and reply to your check-ins.
  • To contact you about your application, payment or programme progress.
  • To process payments and refunds.
  • To meet our legal, accounting and tax obligations.
  • To keep the site secure and improve how the Service works.

We do not sell your personal data, and we do not use it for third-party advertising or profiling.

4. Legal basis (UK GDPR)

  • Contract — to deliver the coaching you've applied for or signed up to.
  • Legal obligation — to keep accounting and tax records.
  • Legitimate interests — to run, secure and improve the website and the Service.
  • Consent — where required, for example for optional marketing emails. You can withdraw consent at any time.

5. Who we share it with

We only share data with trusted providers who help us run the Service. Each acts under contract and is only allowed to use your data to provide their service to us:

  • Stripe — payment processing.
  • Resend — sending transactional emails (receipts, application confirmations).
  • Our hosting and database provider — to store your application and coaching records.

We'll also share information where we're legally required to (for example in response to a valid court order or tax authority request).

6. International transfers

Some of our providers are based outside the UK. When personal data leaves the UK, we rely on safeguards approved under UK GDPR — typically the UK International Data Transfer Agreement or equivalent Standard Contractual Clauses — to make sure your data stays protected.

7. How long we keep it

We keep application and coaching records for as long as you are a client and for up to 7 years afterwards to meet UK accounting and tax requirements. After that we delete or anonymise the data. Marketing data is kept until you unsubscribe.

8. Your rights

Under UK & EU data protection law you can ask us to:

  • Confirm what data we hold about you and get a copy.
  • Correct anything that's wrong.
  • Delete your data (where we're not required to keep it).
  • Stop or restrict how we use it.
  • Receive your data in a portable format, where applicable.
  • Unsubscribe from marketing emails — every marketing email has an unsubscribe link.

Email ikennafitness@gmail.com and we'll action any request within 30 days. If you're unhappy with how we handle your data you can also complain to the UK Information Commissioner's Office (ico.org.uk).

9. Security

We use industry-standard measures to protect your data, including encryption in transit (HTTPS), access controls and trusted infrastructure providers. No system is perfectly secure — if we ever become aware of a breach affecting your data, we'll notify you and the ICO as required by law.

10. Cookies

We use only the cookies needed to make the site work (e.g. session and security cookies). We don't run third-party advertising or tracking cookies.

11. Children

The Service is intended for people aged 18 and over. We don't knowingly collect personal data from anyone under 18. If you believe a child has given us their data, email us and we'll delete it.

12. Changes

If we update this policy we'll change the "Last updated" date above and, for significant changes, email active clients.
